Cozy Cards LLC ("I", “we,” “our,” or “us”) respects your privacy. This Privacy Policy explains how we collect, use, and share your information when you interact with our Discord-based platform and associated services.
Information We Collect
Cozy Cards collects only the information necessary to operate, maintain, and improve our services.
We collect your Discord user ID and username to associate you with your collection and personalize your experience. We also collect guild (server) IDs and channel IDs to ensure accurate message delivery and proper command handling within Discord.
If you choose to use our optional tax estimation features, we may collect your self-reported tax bracket to provide more relevant and personalized calculations.
When you manage your collection—either manually or through CSV import—we may collect the following data:
Product name, set name, and card number
Item condition and quantity
Purchase price and acquisition date
PSA certification number (if provided)
Sale date and sale price
Marketplace platform used for the sale
Shipping costs and marketplace fees
User-defined tags, notes, and target prices
Please note: Tags and notes are free-form fields, but we apply reasonable length restrictions to support system performance and reduce potential abuse. We strongly advise users not to include sensitive personal data in these fields.
We do not collect IP addresses, device metadata, browser fingerprints, or geolocation data.
Data You Provide
If you add to a collection through commands, import a csv or modify a collection through commands, we may receive additional details like purchase prices, personal tags, or free-form notes. These fields are optional and fully controlled by you. However, since they are user-generated, you should avoid entering sensitive personal data.
Payment Information
All payment processing is securely handled through Stripe. While we may request your email address to support features like subscription management, that data is stored solely with Stripe. We do not process or retain your credit card or billing information on our servers.
Data Storage & Security
We use reputable infrastructure providers to store and process your data, and we take appropriate precautions to secure it.
Error and Usage Logging
We maintain internal logging to monitor bot performance, detect errors, and improve user experience. This includes capturing logs of command usage, timestamps, and relevant context for diagnostic purposes. These logs are retained solely on our server and are not shared externally.
In addition, we maintain audit logs for all user interactions and commands. These logs are stored in our database, not on the bot server, and are used to refine features, enhance service quality, and detect or prevent abuse.
Data Sharing
We do not sell or share your personal data with third parties. However, when you interact with the bot in a public Discord server, your collection information may be visible depending on the context. We attempt to make sensitive interactions ephemeral where possible, but it is ultimately your responsibility to manage the visibility of your commands.
Data Deletion
You may delete your stored data at any time by using the /collection-delete-everything command. This will remove all records linked to your user ID from our systems. Note that this does not affect payment records stored with Stripe. If you wish to request deletion of your Stripe-related information, please contact us at legal@cozycards.gg or refer to Stripe’s own privacy and data removal tools.
Retention and Duration
We retain user data only as long as it remains technically feasible for us to offer our services, or until you request deletion. If our services are discontinued, we will make reasonable efforts to delete all associated user data.
